New Business Processor/Operations Support Specialist
We are seeking a detail-oriented and proactive New Business Processor / Operations Support Specialist to join our growing wealth management firm. This individual will play a critical role in supporting advisors and ensuring the smooth onboarding of new clients, processing account paperwork, and maintaining operational efficiency across the firm. This role is integral to maintaining operational excellence, supporting advisors, and helping the firm scale efficiently while upholding the highest standards of accuracy, compliance, and client service.
Key Responsibilities: New Business Processing & Account Management
- Prepare, review, and process new account applications across custodians (individual, joint, trust, IRA, and entity accounts)
- Ensure completeness, accuracy, and compliance of all paperwork prior to submission
- Coordinate account openings, transfers (ACATs), rollovers, and asset movements
- Monitor and track status of new accounts and transfers through completion
- Serve as liaison between advisors, custodians, and clients to resolve issues promptly
Operations & Administrative Support
- Support advisors with operational and administrative needs related to client accounts
- Maintain accurate client records in CRM and portfolio management systems
- Process client requests including distributions, contributions, beneficiary updates, and account maintenance
- Assist with account reconciliations and data integrity checks
- Support implementation and ongoing maintenance of operational workflows and procedures
Client Service & Advisor Support
- Provide timely and professional communication with clients and internal team members
- Assist in preparing client review materials and reports
- Help ensure a smooth and professional onboarding experience for new clients
- Identify opportunities to improve operational efficiency and client experience
Compliance & Risk Management
- Ensure adherence to firm policies, regulatory requirements, and compliance procedures
- Maintain organized digital files and documentation in accordance with firm and regulatory standards
- Assist with compliance-related operational tasks as needed
Qualifications:
- 2+ years of experience in wealth management, financial services operations, or brokerage operations
- Experience processing new accounts and transfers through custodians such as Schwab, Fidelity, Pershing, or similar platforms
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
Preferred
- Experience working in an RIA environment
- Familiarity with CRM systems (Redtail, Salesforce, Wealthbox, etc.)
- Experience with portfolio management systems (Orion, Tamarac, Black Diamond, etc.)
- Understanding of investment account types and operational procedures
