Administrative Assistant

In this role, you’ll be the first point of contact for our clients—contributing directly to the success of the business by ensuring a smooth and organized office environment. You’ll work closely with the financial advisor and team, handling key administrative responsibilities and building strong relationships with clients and prospects.

Key Responsibilities:
- Provide a warm and professional client-facing experience—both in person and over the phone
- Schedule and confirm appointments; manage the advisor’s calendar
- Schedule tasks and workflows for staff and advisors to ensure timely follow-up and operational efficiency
- Prepare necessary paperwork and follow up to ensure timely completion of all required items
- Prepare meeting materials, account summaries, and follow-up documentation
- Maintain office supplies, client correspondence, and organized filing systems (paper and digital)
- Manage the CRM and Metrics reporting
- Record notes and key points from client conversations
- Assist with outreach efforts including newsletters, blogs, website updates
- Assist in preparing all efforts in event planning, including logistics, materials, and client communications
- Provide operational support for client reviews, financial plans, and back-office initiatives
- Handle client requests and resolve basic service issues with professionalism and care
Required Qualifications:
- 2+ years of administrative or office support experience in a professional, fast-paced environment
- Bachelor’s degree preferred
- Prior experience in the financial services industry a plus
- Proficiency in Microsoft Office Suite, especially Excel
- Experience using CRM systems
