The Client Relations Representative role combines client service administration, inside sales, and event coordination. As the first point of contact for clients and prospects, you will deliver a professional, high-touch experience while driving appointment generation through workshops, community events, and outbound relationship-building.

This role is ideal for someone who thrives in a fast-paced, goal-oriented environment and enjoys engaging with people both over the phone and in person.

Approximately 70% of the day is spent on the phone building relationships, confirming appointments, and following up with prospects.

Key Responsibilities

Client Service & Administrative Support

  • Greet and engage clients and prospects professionally in person, on the phone, and via email
  • Coordinate onboarding for new clients and prepare materials for advisor meetings
  • Manage and optimize advisor calendars to maximize efficiency
  • Respond to inquiries or route to appropriate team members
  • Maintain a polished, welcoming reception and meeting space
  • Ensure client and prospect information is handled confidentially and in compliance with company policies
  • Log all activity and lead updates in CRM on the same day

Sales, Events & Appointment Setting

  • Attend in-person workshops, seminars, and community events to engage attendees and generate new consultations
  • Plan and execute event logistics, including:
  • Securing venues
  • Tracking RSVPs
  • Managing check-ins
  • Coordinating room setup and marketing materials
  • Conduct same-day or next-day follow-up with attendees and no-shows
  • Make consistent outbound calls to warm leads and prospects
  • Reactivate dormant leads and re-engage past no-shows
  • Maintain follow-up cadence until prospects are scheduled, declined, or disqualified
  • Track and report weekly metrics:
  • Outreach activity
  • Appointments set
  • Show rates
  • Conversions

Client Service & Onboarding Support

  • Initiate new client onboarding paperwork
  • Accurately prepare applications, transfer forms, and client profile documentation
  • Submit complete documentation to the New Business team (Westbrook office)
  • Ensure compliance and accuracy in all paperwork (this role submits — does not manage follow-up processing)
  • Coordinate Advisor calendars for efficiency
  • Maintain professional office and reception presence

Required Qualifications: Experience & Skills

  • 1–3 years of outbound sales or appointment-setting experience
  • Proven success in meeting or exceeding sales or activity goals
  • Strong phone presence and confidence speaking with prospects
  • Ability to multitask and prioritize in a fast-paced, client-centric environment
  • Exceptional attention to detail and organizational skills

Education

  • Associate’s or Bachelor’s degree in Business, Finance, or related field preferred

Technology

  • CRM experience required
  • Proficiency in Microsoft Office Suite
  • Strong calendar management skills

Work Environment & Requirements

  • Office-based role with travel to workshops and seminars
  • Ability to support occasional evening events
  • Ability to sit at a desk for extended periods
