The Client Service Associate provides analytical, administrative, and client service support to financial advisors in a fast-paced wealth management environment. This role is responsible for assisting with financial planning preparation, client account servicing, and ongoing relationship management.

The ideal candidate is detail-oriented, client-focused, and comfortable working with financial planning software, investment platforms, and CRM systems. This position plays a key role in delivering a high-quality client experience while supporting advisors in the development and implementation of comprehensive financial plans.

Key Responsibilities

Financial Planning Support

  • Assist advisors in preparing financial plans, investment proposals, and client review materials.
  • Gather and organize client financial information including assets, liabilities, income, insurance, and estate documents.
  • Prepare planning scenarios and illustrations using financial planning software.
  • Conduct investment research and portfolio analysis.
  • Assist in preparing retirement projections, income strategies, and asset allocation models.

Client Service & Relationship Support

  • Serve as a primary point of contact for client service requests.
  • Respond to client inquiries in a professional and timely manner.
  • Maintain client records and documentation in CRM systems.
  • Assist with scheduling client meetings and preparing meeting agendas and follow-up documentation.
  • Support advisors in maintaining strong client relationships through proactive service and communication.

Account Administration

· Coordinate account openings, transfers, and beneficiary updates.

  • Monitor application status and follow up with custodians, insurance carriers, and product providers.
  • Ensure paperwork is complete, accurate, and compliant prior to submission.
  • Track pending business and provide updates to advisors and clients.

Operations & Compliance

  • Maintain accurate client files and documentation in accordance with compliance requirements.
  • Assist with account maintenance requests such as distributions, transfers, and beneficiary changes.
  • Support internal compliance procedures and regulatory requirements.
  • Assist with operational projects and process improvements.

Qualifications

Education & Experience

  • Bachelor’s degree in finance, Business, Economics, or related field preferred.
  • 2+ years of experience in the financial services or wealth management industry preferred.
  • Experience supporting financial advisors or financial planners is strongly preferred.

Skills & Competencies

Technical Skills

Experience with financial industry technology is preferred, including:

  • CRM systems (Redtail, Salesforce, or similar)
  • Financial planning software (MoneyGuidePro, eMoney, RightCapital, etc.)
  • Portfolio analysis tools (Kwanti, Morningstar, etc.)
  • Custodial platforms (Schwab, Fidelity, Pershing)
  • Microsoft Office Suite (Excel, Word, Outlook)
