Client Service Associate
*Works with Wealth Advisor onboarding new clients
*Assists with custodial tasks
*Prepares reports and paperwork for client meetings
*Communicates with clients on outstanding tasks
Position Overview:
As a Client Service Associate, you will play a key role in welcoming new clients and ensuring their onboarding journey is seamless, efficient, and exceptional. You’ll be the friendly, organized, and knowledgeable point of contact who helps our advisors prepare and process client paperwork, coordinate business transitions, and foster lasting client relationships.
Responsibilities:
Day to Day
- Provide same-day responses to client inquiries with professionalism and care
- Prepare client applications, forms, and authorizations ahead of meetings
- Support advisors during client meetings, including occasional after-hours or last-minute sessions
- Execute advisor instructions and consult with clients to address questions or concerns
- Utilize technology platforms such as CRM, DocuSign, Fidelity Wealthscape, and others to maintain efficient workflows
- Track and maintain detailed records of submitted business, ensuring deadlines are met
Weekly & Monthly
- Participate actively in team meetings to collaborate and align on priorities
- Monitor and report on outstanding and pending business to ensure timely processing
- Review monthly reports and adjust processes as needed
Qualifications:
- A genuine desire to provide outstanding client service
- Exceptional organizational skills and the ability to manage multiple priorities
- Comfortable adapting to a dynamic, fast-paced environment
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office and ability to quickly learn industry software
- Bachelor’s degree preferred
- Minimum 3 years of client onboarding experience, with at least 1 year in the financial industry
